FAQs

COMMERCIAL OPERATOR – BLOCK BOOKING

Q: How do I apply and plan for my bookings?
A: Please submit the ‘Commercial Operator application form’ direct to The Royal Parks (TRP) office, along with supporting documentation outlined on the application form. TRP will then respond to you directly to confirm the cost of your licence fee. Normally TRP will first check with Will to Win Ltd (WTW) whether there is space available. Please complete the application form with as much detail as possible. TRP will call/email you about you proposal and to advise if your application is unlikely to be successful. If your event seems possible we will arrange a preliminary meeting to discuss it. Meetings will continue until such a time as both parties have agreed outline arrangements. Once the licence fee is agreed/activity approved TRP will e-mail the licence fee holder and WTW (based at the Tennis Centre) to advise the agreed dates. WTW will respond to the licence holder to confirm the booking has been added to the OFP booking system.

Q: How much am I likely to pay for the booking?
A: TRP will consider the appropriate licence fee costs for each application on a case by case basis. To help facilitate a smooth booking process please provide TRP with all relevant documentation along with your application such as licences of Sports Coaches, DBS certificates and a copy of Public Liability Insurance etc.

COMMERCIAL OPERATOR – ONE OFF BOOKING
Q: How do I apply and plan for my event?
A: Please submit the application form with as much detail as possible. We will call/email you about you proposal and to advise if your application is unlikely to be successful. If your event seems possible we will arrange a preliminary meeting to discuss it. Meetings will continue until such a time as both parties have agreed outline arrangements.

Q: How much am I likely to pay for the booking?
A: Prices for picnics at the football pitches are likely to oscillate around £4pp though the fees are discussed and agreed on a case by case basis. In addition to an event fee you will have to pay for any services that we provide, for any costs that we incur and compensation to any services impacted by your event. You may be asked to pay a damage bond, which may be returned to you after successful completion of your event. Q: I am a private user (non-commerical) and wish to book space on the OFP for Sport only (i.e not a sports Picnic) 7 days (or less) in advance.
A: You may book online (www.willtowin.co.uk), in person or on 02072623474 direct with WTW at the Tennis Centre. There are no costs involved.
NB – To classify as a private booking the max no participants is 30pax. For larger groups the booking must be cleared via WTW, this does not necessarily mean that there will be any costs involved.

Q: I am a private user (non-commercial) and wish to book space on the OFP, for sport only, more than 7 days in advance.
A: There is no fee for sports only activity booked on OFP. There is no limit on space that can be booked, within reason. For Sports Picnics or activities falling under the scope of an event (e.g. charity fundraiser) the booking will be treated as an event.

Q: What are the assessment criteria for events proposals?
A: Our assessment criteria include: Would the event clash with any other? Will park conditions at that particular time of the year be conducive to holding events? Are the management arrangements satisfactory for this event? Are the Health and Safety arrangements suitable and sufficient? Has enough time been given from submitting the proposal to the actual event date? Have previous events of this nature been managed satisfactorily by this organisation? Does the event adversely affect park users, residents, local businesses, etc? What is the environmental impact of the event?

Q: What am I expected to do as the event organiser?
A: • Put all litter into litter bins or take their waste away with them • Adhere to the route and site plan agreed prior to the event • Provide WTW with evidence of your competence at organising events e.g. a method statement and/or a risk assessment • Ensure that the supervision of children participating in the event is maintained at all times by competent adults • Provide adequate stewards for the event. Runs, cycle rides and walks will be expected to provide stewards at road crossings for example • Make arrangements for first aid.

Q: Who is responsible for Event Safety
A: Everyone organising or running an event has a legal duty of care to their employees, contractors and members of the public. The named person takes responsibility for the proposed event and this individual will be the point of contact during the planning and execution of the event.
